Who can see each item

Workspace membership is the first access check, but some items apply additional rules based on a person’s role, relationship to the work or the visibility chosen when the item was created.

Everybody who adds, reads or manages information in a care-team workspace

Where to find it

  • Open Team to review a person’s membership, role, status and workspace permissions.
  • Open the relevant document, Care Protocol, task, note or message thread to review its item-specific access context.

The baseline access checks

A person must be signed in, have an active membership in that care team and have accepted the care-team confidentiality agreement before Kinovo allows ordinary workspace access. Suspended, removed and confidentiality-pending members are excluded from workspace content and content notifications.

Kinovo checks these rules on the server and in database access policies, not only by hiding navigation or buttons.

How common workspace items are shown

  • Care-team profile and shared context — available to current members, with account contact details also affected by the person’s profile-visibility preferences.
  • Goals — visible to active care-team members; permission is still required to create or edit them.
  • Tasks — visible to the creator, assignee, relevant workflow actors and members with View all team tasks. Seeing a task does not grant review or edit authority.
  • Care Protocols — filtered by the selected audience: team, professionals, family or Team leaders.
  • Documents — filtered by the document’s access preset and any selected-recipient records.
  • Messages — team threads are available to the team; restricted threads are available only to permitted participants and authorised oversight.
  • Private notes — visible only to the author, including their note reminders.
  • Team meetings — meeting information remains inside the care team; invited attendees receive and respond to their own attendance request.

Access is not the same as a notification

An alert tells somebody that something happened. It does not grant access to the linked item. If a person receives a deep link but their membership or item visibility no longer allows access, Kinovo does not open the content.

The reverse is also true: somebody may be allowed to find an item without receiving an alert about every change.

If you cannot see something

  • Confirm that you are in the correct care-team workspace.
  • Check whether your membership is active and the confidentiality agreement is complete.
  • Ask whether the item was shared with your role or with selected people.
  • For a locked document, use Request access when it is available.
  • Ask the Team leader to review your care-team permissions; do not ask another member to copy restricted information into a less private area.
