Changing someone’s permissions
The Team leader can adjust one member’s role, Admin status and individual workspace permissions without changing the rest of the care team.
Who this article is for
Team leaders who manage care-team access and members who want to understand an access change
Where to find it
- Open Team, choose People & access, then open the relevant member.
- The member’s effective access summary shows what their current role and custom permissions allow.
Who can change permissions
Only the active Team leader can change another member’s care-team role, status, Admin access or individual permissions. An Admin can help manage ordinary workspace work and invitations, but cannot manage permissions or transfer Team leader responsibility.
Roles, Admin access and individual permissions
The role describes how the person participates: care subject, family/supporter, professional or Team leader. Kinovo applies a role-based starting preset, then the Team leader can customise the permissions that are allowed for that role.
Admin is an additional workspace capability. It lets a non-Team-leader help manage ordinary coordination, but it does not confer control of Team leader access.
- Edit About profile.
- Create and edit Care Protocols.
- Create and edit goals and tasks they are authorised to own.
- View all team tasks without automatically gaining edit or review authority.
- Upload documents, add versions and manage visibility where authorised.
- Start and reply to care-team messages.
- Comment and post workspace updates.
Change a member’s access
- 1
Review current responsibilities
Check what the person actually needs to do in this care team before expanding access.
- 2
Choose the role and status
Keep the member Active for ordinary access, or use Suspended when access must stop without completing removal.
- 3
Set Admin and permissions
Grant only the capabilities needed for their responsibilities. View access and management authority are deliberately separate.
- 4
Save access
Kinovo validates the acting Team leader, updates the intended membership, records the change and notifies the affected member when relevant.
Respond to a permission request
When an eligible member encounters a locked action, they can request the specific capability and explain why it is needed. The Team leader can approve or decline the request.
Approval changes only the requested allowlisted permission and preserves the person’s role, status, Admin setting and unrelated permissions. It is not a shortcut to full workspace administration.
Review access after a change
- Confirm that the member can perform the intended action and no broader action.
- Check item-level visibility separately; a workspace permission does not reveal every private document or thread.
- Suspend or remove access promptly when involvement ends.
- Transfer leadership through the dedicated handover rather than trying to edit the current Team leader like an ordinary member.
