How document visibility works
Every Kinovo document has an access preset that controls who can list, preview and download it; alerts and links never replace that document-level permission.

Where to find it
- Choose the visibility preset in the Upload document popup before saving a file.
- Open Document details to see the current Visible to summary, versions, linked work and any available access-request controls.
Choose the right visibility preset
- All team members — shared care-team information that every current member needs.
- Uploader plus client — the uploader, care subject and Team leaders.
- All professionals — professionals in the care team, with Team leader oversight.
- All family and supporters — family/supporters and the care subject, with Team leader oversight.
- Selected people — only the people deliberately selected, plus Team leader oversight and the uploader’s authorised access.
- Team leaders only — private or high-risk material that should remain with Team leaders.
- Assigned person — used in supported action workflows to limit a file to the person assigned to the linked work, with required oversight.
What the preset controls
The document list, detail view, preview and download all use the same underlying access decision. Files are stored in private storage; Kinovo checks the current workspace membership and document permission before issuing access.
A user’s default document-visibility preference can preselect a sensible option, but the uploader should still review it for each file.
Using Selected people
Choose each active member who genuinely needs the file. Use this for sensitive documents that do not fit a whole-role group. Team leaders retain oversight automatically.
If a selected person is later removed from the care team, their membership and obsolete recipient access end. A file they already downloaded cannot be recalled from their device, so the confidentiality agreement and safe device handling still matter.
Alerts, links and versions
- Let specific people know sends an alert only to eligible people who can access the file; it does not change visibility.
- Linking a document to a task, goal or Care Protocol does not widen the file’s access.
- A new document version follows the current document’s visibility rather than creating a separately public copy.
- If somebody needs to act on a document, create a linked task instead of relying only on an alert.
Request access to a locked document
When Kinovo offers Request access, submit the request from the locked document. A current Team leader can approve or decline it. Approval grants access to that document; it does not expand the requester’s general workspace role or unrelated permissions.
Share the minimum necessary
Before uploading, make sure you are authorised to share the file. For invoices, agreements, NDIS plans, medical reports and other sensitive records, choose the narrowest group that can still do the required work.
