Uploading and sharing documents

Upload a document once, choose who can access it, link it to the relevant work and alert only the people who genuinely need to know.

Who this article is for

Care-team members permitted to add or manage shared documents

Where to find it

  • Open Documents in the care-team workspace and choose Upload document.
  • Professionals can upload from the Action Centre Create menu after selecting a client, if their role permits it.

Upload a document

    Name and categorise it

    Enter a clear title and choose the category that will help the team find it later.

    Choose the file

    Kinovo accepts PDF, PNG, JPEG, DOCX, XLSX, MP4, WebM and MOV files up to 8 MB.

    Add useful links

    Optionally connect the document to a goal, task or Care Protocol so its purpose is clear.

    Choose access

    Select the smallest visibility group that includes everyone who genuinely needs the document.

    Upload

    Kinovo stores the file and enforces access when people list, preview or download it.

Choose who can see it

  • All team members.
  • Uploader plus client, which includes the uploader, care subject and Team leaders.
  • All professionals.
  • All family and supporters.
  • Selected people.
  • Team leaders only.
  • The assigned person for linked action workflows.

Access and alerts are separate

Let specific people know sends a notification; it does not grant document access. Give somebody access first if they need to open the file. If they must do something, create a linked task instead of relying on an alert.

Select eligible people only when the upload is directly relevant to them. Kinovo sends the selected alert through in-app notifications and email according to the recipient’s preferences.

Replace an outdated file with a new version

Upload a new version from the document details and add a short change note. Kinovo makes the new file current while retaining the version history, so the team does not need duplicate documents with unclear names.

When a document is locked

If you can see that a document exists but do not have access, use the access-request workflow when it is offered. A Team leader can approve or decline the narrow request. Do not ask another member to copy the file outside its intended visibility.

Tell Kinovo support what you were trying to do, which page you were on and what happened. Do not include sensitive care information unless support specifically asks for it through an approved channel.
