Adding Care Protocols

Care Protocols hold practical, current instructions for supporting the care subject, with controlled visibility, ownership and review dates.

Who this article is for

Team leaders and care-team members permitted to manage practical support guidance

Where to find it

  • Open Care Protocols in the care-team workspace and choose Add care protocol.
  • A permitted professional can also choose Care Protocol from the Action Centre Create menu after selecting a client.

What belongs in a Care Protocol

Use a Care Protocol for practical instructions that somebody may need while supporting the care subject—for example communication, manual handling, mealtime, medication prompts, equipment, routines or escalation guidance.

Do not use it as a substitute for an emergency plan, clinical record or professional judgement.

Add the protocol

    Enter the title and category

    Choose a title people can recognise quickly and the category that best fits the guidance.

    Choose the status

    Use Draft while preparing it, Active when it is current, Needs review when it requires attention, or Archived when it is no longer in use.

    Write the instructions

    Put the current practical steps in Instructions. Use plain, direct language that the intended reader can follow.

    Save the protocol

    Kinovo checks your care-team authority and applies the selected visibility.

Add review, access and supporting details when needed

  • Choose visibility: all team members, professionals and Team leaders, family/supporters/care subject, or Team leaders only.
  • Record an owner and review schedule so current guidance does not quietly become stale.
  • Add Do, Do not and escalation guidance when those distinctions improve safety and clarity.
  • Link or upload a supporting attachment when readers need the source material.
  • Medication-related fields are available for protocols that genuinely require them.

Review and update a protocol

When a scheduled review is due, editing the protocol requires the reviewer to confirm whether the review has been completed. Confirming advances the review schedule and returns the protocol to Active.

A useful task response can also be turned into a Care Protocol when it contains practical guidance that the wider permitted team should keep using.

Use the current guidance

People can open protocols allowed by their membership and the item’s visibility. The workspace can also download the current protocol set as a branded PDF for appropriate offline use.

Keep safety guidance governed

Only publish instructions you are authorised and competent to share. If urgent help is needed, follow emergency services and the care team’s agreed safeguarding process rather than relying on Kinovo.
