Getting started
Creating a care team
Create a care team for yourself, somebody you support, or a professional client, then add only the minimum information needed to begin coordinating.
Who this article is for
Personal accounts and professionals who are starting a new client workspace
Where to find it
- From an empty personal dashboard, choose Create a care team.
- From a professional Dashboard or My clients, choose Add client, then Create client care team.
- An unfinished setup can be reopened from the dashboard, Team page or the saved setup prompt.
Before you start
Know who the care team is for and who should be the Team leader. The Team leader is the person responsible for team access. You can save and exit during setup, and you can invite more people later.
If the care team is for somebody else, decide whether the care subject will use their own Kinovo account or have a profile managed by the Team leader. A managed profile does not require the care subject to have an email address or login.
Complete the care-team setup
- 1
Who is this care team for?
Choose Myself or Someone else. Record the care subject’s display and preferred names, the Team leader email and primary contact details. If the care subject is somebody else, choose whether they will have their own account or a Team leader-managed profile.
- 2
NDIS participant?
Choose whether the care team is for an NDIS participant. Selecting No skips the NDIS-specific steps; Kinovo can also be used for care teams outside the NDIS.
- 3
NDIS details
If relevant, add the NDIS number, plan dates, plan-management type and support-coordination status. These details can be updated later.
- 4
Plan manager
For a plan-managed plan, add the plan manager’s contact details. Their email is prefilled on the invitation step so invoice actions can be routed clearly.
- 5
Care team basics
Give the care team a recognisable name and a short purpose that explains what the team is coordinating.
- 6
Decision path
Record the shared team vision and the agreed decision and escalation path. This should identify the real process outside Kinovo for urgent or safety concerns.
- 7
Invite people
Invite family members, supporters or professionals now, or leave the rows blank and invite them later from Team > Manage team > Invites.
- 8
Review
Check the care subject, access arrangement, contacts and shared context. Confirm that you have permission to create and manage the care team, then choose Complete setup.
Care-subject account choices
- For myself connects the signed-in account to the care subject automatically.
- Team leader will manage their profile creates a care-subject profile without an email address or login. The Team leader can invite them to use an account later.
- Invite them to use their own account requires the care subject’s own email address and sends access to that account.
Use the person’s own email
When the care subject will have an account, enter the email they will actually use to sign in. Do not reuse the Team leader’s email for a separate person.
Choosing the Team leader
The setup account begins with Team leader authority so the workspace can be created safely. If another person should lead the care team, enter their email as the Team leader and complete the handover through their invitation.
A Team leader invitation is different from an ordinary member invitation: accepting it transfers control of team access. Kinovo keeps one active Team leader for the workspace.
What to do after setup
- Review the next useful step on the dashboard.
- Add one current goal or priority rather than trying to recreate the person’s entire history.
- Invite the person best placed to help with that priority.
- Create one real action and follow it through response and review.
- Add a Care Protocol or current document when the team genuinely needs it.
Still need help?
Tell Kinovo support what you were trying to do, which page you were on and what happened. Do not include sensitive care information unless support specifically asks for it through an approved channel.
