Choosing roles and permissions

Choose the role that describes the person’s place in this care team, then use the preset permissions unless their responsibilities genuinely require a narrower or broader set.

Team leaders managing access and people reviewing what their role allows

Where to find it

  • Choose a role while sending an invitation.
  • After somebody joins, open Team > Manage team > People and access.
  • Use the effective-access summary to confirm the result before saving.

Care-team roles

  • Team leader: controls team access and has the complete coordination preset. A workspace has one Team leader.
  • Care subject: the person the workspace is about. Their standard preset can contribute broadly but does not transfer Team leader authority.
  • Professional: can normally create Care Protocols, goals and tasks, manage documents, message and comment. By default they see relevant tasks rather than the whole team task list.
  • Family / supporter: a viewer-first role that can normally see team tasks, message and comment, without editing core workspace information or managing documents.

Roles belong to the workspace

A person’s account type does not force the same role everywhere. For example, a professional account can be Team leader in one care team and a Professional member in another.

Permissions Kinovo can control

  • Manage team access: transfer Team leader responsibility and change member access. This remains Team leader-only.
  • Edit About profile: update the care subject and care-team context.
  • Create and edit Care Protocols.
  • Create and edit goals and tasks.
  • View all team tasks: see the whole task list without automatically gaining authority to edit or review another person’s task.
  • Upload and manage documents.
  • Message the team in client-scoped conversations.
  • Comment and post updates.

How to choose access

    Start with the closest role preset

    Use Professional for a treating or coordinating professional and Family / supporter for a trusted person primarily following progress.

    Match access to a real responsibility

    Only add a permission when the person needs it to contribute. Do not grant broad access simply to avoid deciding what they require.

    Check the effective-access summary

    Kinovo shows what the person can and cannot do. If the summary says Custom, the permissions differ from the normal role preset.

    Save and review later

    Responsibilities change. Update access when somebody’s involvement changes and remove access when they leave the care team.

Workspace administrator access

A Team leader can give a suitable active member broad workspace-administrator permissions without transferring Team leader authority. This can allow editing context, protocols, goals, tasks and documents, viewing all tasks, messaging and commenting.

Workspace administrators cannot transfer Team leader responsibility or change member roles and access. That authority remains with the Team leader.

Permissions do not make every item visible

Workspace permissions control what actions a person can take. Item-level visibility still matters for documents, restricted message threads and other information shared with selected people. A permission to manage documents, for example, does not mean every restricted document is automatically visible.

Use the least access that still lets the person help

If somebody only needs to respond to one assigned task, they may not need permission to edit goals, protocols, the About profile or team access.

When somebody needs additional access

For supported actions, Kinovo can let a member request a specific missing permission from the Team leader. The request identifies the action they were trying to take. The Team leader can approve or decline it without giving unrelated access.
